Key Notes and Mandatory Conditions

Passport validity (most important prerequisite): A delegate's passport must be valid for more than 6 months from the date of entry into Vietnam and must have at least 2 blank pages. Passports valid for less than 6 months will be refused a visa, or the airline may deny boarding at the departure airport.

Timing: Delegates should begin the visa procedure at least 2 months before departure (ideally 2–3 months). This buffer allows HCMUT to activate the sponsorship procedure in time should an e-visa be delayed or refused.

Entry Visa Categories for Vietnam

  • 45 days: Citizens of 13 countries (Germany, France, Italy, Spain, the United Kingdom, Russia, Japan, South Korea, Denmark, Sweden, Norway, Finland, and Belarus).

  • 14–30 days: Citizens of ASEAN countries (Thailand, Singapore, Malaysia, Indonesia, the Philippines, etc.).

  • Requirements: A passport valid for more than 6 months and a return ticket or an onward ticket to a third country.

All delegates must complete an online entry declaration before arriving in Vietnam

Invitation Letters

IMPORTANT: Visa letters will only be issued once you have registered and paid all necessary fees.

If you require a personal letter of invitation to attend the Conference, please contact the Conference Manager.

In your email, provide the following information: complete name, mailing address, and any other details that your country of residence requires for your visa application. The Conference cannot contact or intervene with any Embassy or Consulate office abroad on your behalf, so please begin your visa application process as soon as you determine that you want to attend the IEEE SAS 2027. Please provide as much information as possible to avoid delays in receiving your letter. You must register for the conference before requesting an invitation letter.

Please note that attendees who receive an Invitation letter cannot transfer or refund their registration.
