Key Notes and Mandatory Conditions
Passport validity (most important prerequisite): A delegate's passport must be valid for more than 6 months from the date of entry into Vietnam and must have at least 2 blank pages. Passports valid for less than 6 months will be refused a visa, or the airline may deny boarding at the departure airport.
Timing: Delegates should begin the visa procedure at least 2 months before departure (ideally 2–3 months). This buffer allows HCMUT to activate the sponsorship procedure in time should an e-visa be delayed or refused.
Entry Visa Categories for Vietnam
45 days: Citizens of 13 countries (Germany, France, Italy, Spain, the United Kingdom, Russia, Japan, South Korea, Denmark, Sweden, Norway, Finland, and Belarus).
14–30 days: Citizens of ASEAN countries (Thailand, Singapore, Malaysia, Indonesia, the Philippines, etc.).
Requirements: A passport valid for more than 6 months and a return ticket or an onward ticket to a third country.
Recommended for Most Delegates
Available to citizens of all countries/territories, with a maximum stay of 90 days (single or multiple entry).

Official Backup Option
If a delegate is not eligible for an e-visa, or is refused an e-visa and requires a sponsoring organization, HCMUT will submit a sponsorship application to the Immigration Department to obtain a Visa Approval Letter.
The sponsorship review takes approximately 10 working days. Once the approval letter is issued, the delegate will have the visa stamped at a Vietnamese Embassy/Consulate in their home country. (Under the new regulations, visa-on-arrival stamping at border gates and airports is no longer permitted.)

Invitation Letters
IMPORTANT: Visa letters will only be issued once you have registered and paid all necessary fees.
If you require a personal letter of invitation to attend the Conference, please contact the Conference Manager.
In your email, provide the following information: complete name, mailing address, and any other details that your country of residence requires for your visa application. The Conference cannot contact or intervene with any Embassy or Consulate office abroad on your behalf, so please begin your visa application process as soon as you determine that you want to attend the IEEE SAS 2027. Please provide as much information as possible to avoid delays in receiving your letter. You must register for the conference before requesting an invitation letter.
Please note that attendees who receive an Invitation letter cannot transfer or refund their registration.
